Getting Started
Go to mypbx.ncevoip.com/portal and log in with your extension and domain together, such as 101@yourcompany.com, and your portal password. This login is separate from your ConnectUC app login β call us if you're not sure what yours is.
An at-a-glance view of your extension: new voicemail messages, recent call history (green = outbound, red = missed, blue = inbound received), a status message you can set for others to see, which answering rule is currently active, and which of your phones are currently online.
A window pops up showing the caller's name and number, with Reject and Answer buttons. Rejecting sends the call to voicemail if available. Once you're on a call, a similar window lets you hold, hang up, or transfer β typing 03 before an extension in the transfer field sends the call straight to that person's voicemail.
Voicemail
Open the Messages page. The Messages tab lets you play, call back, download, save, forward, and delete messages β hover over a message to see all the options. Use the dropdown to switch between New, Saved, and Trash (recently deleted).
The Settings tab lets you enable or disable voicemail entirely, choose whether the newest messages play first, whether the timestamp and caller ID are announced when you call in, and set an "Operator Forward" extension that callers reach by pressing 0 in your greeting. You can also select your active greeting, record a new one, or upload a WAV/MP3 file, and set up email notifications for new voicemail.
From the Settings tab, click the speaker icon to open Manage Greetings, choose Record, enter a phone number to call you at (an extension or your cell), name the greeting, and click Call. Record your greeting after the prompt and press # when done, then click Add Greeting and Done.
Yes β from Manage Greetings, choose Upload, browse to a WAV or MP3 file on your computer, and click Upload, then Add Greeting and Done.
Answering Rules & Schedules
A Time Frame defines *when* something applies β like Open Hours, Holidays, or Closed Hours β and can be shared company-wide or personal to your extension. An Answering Rule defines *what happens* to a call during a given Time Frame, like ringing your desk phone, forwarding to your cell, or going straight to voicemail. If more than one rule's time frame matches, the topmost rule in your list wins β you can drag rules to reorder them.
From the Time Frames page, click Add Time Frame, name it, and choose Days of the week and times (check the days and drag the start/end times, or use the arrow keys for 5-minute increments), or Specific dates or ranges for one-off dates like a holiday closure.
From the Answering Rules page, click Add Rule to set: Do Not Disturb (goes straight to voicemail), Call Screening (asks the caller to say their name before you accept), Call Forwarding (Always, On Active, When Busy, When Unanswered, or When Offline β each to a number or extension of your choice), or Simultaneous Ring (rings multiple phones, including your cell, at once β with an option requiring the person answering an outside number to press 1, so it doesn't go to their voicemail by mistake).
That's the Ring Timeout setting at the top of the Answering Rules page β it sets how many seconds your phone rings (or a forwarding rule plays out) before the call goes to voicemail, if enabled.
Yes β click Allow/Block on the Answering Rules page. Add numbers to the Blocked list to reject them, or to the Allowed list so they always ring through, bypassing Do Not Disturb or Call Screening. You can also check "Block anonymous or unknown" to block calls with no caller ID.
Contacts
Every extension on your system is automatically in your contacts. You can also add external contacts of your own β use the dropdown to filter by group (Favorites, Departments, and more), or the search field to find someone by name or extension.
Click Add Contact to add someone one at a time (name, work/mobile/home numbers, and email). Click Import to upload a CSV exported from Outlook or Gmail, or a vCard file.
Hover over a contact to reveal a star icon β click it to mark them a favorite (it turns yellow). Hovering also reveals an edit icon on the right side of the row.
Music On Hold & Call History
From the Music On Hold page, click Add Music, browse to a WAV or MP3 file on your computer (it must be properly licensed for commercial use), give it a name, and click Upload. If you upload more than one file, drag them into your preferred play order using the arrows on the left. You can also turn on an introductory greeting under Settings before the music plays.
The Call History page lists every call to and from your extension, color-coded by type (green = outbound, blue = inbound received, red = missed) β click any number to call it back. Use Filters to narrow by date range, caller number, dialed number, or call type, and Export to download the log as a CSV file you can open in Excel or Google Sheets.
Your Profile
Your name, timezone, and email address(es) used for password resets and notifications; whether your calls are recorded; whether you're included in the dial-by-name audio directory and the internal contacts list; and your portal/voicemail password. Your Caller ID and 911 Caller ID are shown for reference but generally can't be edited from here β call us if either needs to change.
